About the role

Naologic is building the next generation of ERP and system-of-record platforms from the ground up - AI-natively and customizable to any industry with zero-implementation time. We are redefining how enterprise software is built, deployed, and operated at scale. This is not a typical Chief of Staff role. We are looking for a relentless, semi-technical operator who can context-switch between strategy, hiring, product, engineering ops, customer calls, and founder calendar management - all in the same day. You will be the connective tissue of the company: the person who makes sure nothing falls through the cracks, the founders can focus on building, and the entire organization moves faster.

The strongest candidates we hire are systems thinkers with high agency. They don’t wait to be told what to do - they see what needs doing and do it. They are deeply fluent in workflow automation and advanced AI tooling (not just users - power users who build with these tools). They are equally comfortable drafting a board update, triaging engineering tickets, running a customer call, and restructuring a hiring pipeline. If you need a clearly defined lane to operate in, this role is not for you.

You will report directly to the Co-Founders and operate as their force multiplier across every function of the business.

What You'll Be Doing

This role sits at the intersection of everything at Naologic. Your work will directly involve:

  • Founder Operations: Own the Co-Founders’ calendars, priorities, and communications. Ensure they are focused on the highest-leverage activities at all times. Prepare briefs, agendas, and follow-ups for investor meetings, board sessions, and strategic conversations.
  • Strategic Projects: Scope, drive, and deliver cross-functional initiatives - from GTM planning and pricing strategy to partnership development and operational process design.
  • Hiring & People Ops: Run recruiting pipelines end-to-end for critical roles. Screen candidates, coordinate interviews, manage offer processes, and help shape Naologic’s culture and team composition as we scale.
  • Product & Engineering Ops: Sit in on product and engineering standups. Track execution velocity, flag blockers, and ensure cross-team alignment between product, design, and engineering.
  • Customer & Sales Support: Join customer calls, capture insights, prepare demos, and help close deals. Be the bridge between what customers need and what the product team builds.
  • AI-Powered Workflow Automation: Build and maintain internal automations using AI tools to eliminate repetitive work and accelerate the entire company.

Responsibilities

  • Act as the operational right hand to both Co-Founders across all business functions.
  • Manage founder calendars, travel, and meeting preparation with meticulous attention to detail.
  • Lead strategic planning processes: OKRs, quarterly planning, board prep, investor updates.
  • Own hiring pipelines for priority roles - from sourcing to offer close.
  • Build and optimize internal workflows and automations using advanced AI tooling.
  • Track company-wide execution and ensure follow-through on critical decisions.
  • Serve as the “eyes and ears” of leadership - proactively identify risks, opportunities, and operational gaps.
  • Prepare research, competitive analysis, and briefing documents for strategic decisions.
  • Coordinate cross-functionally between product, engineering, sales, and operations.
  • Represent the founders in meetings and communications when needed.

Required Skills and Qualifications

  • 2–6 years of experience in high-performance environments: top-tier consulting (McKinsey, Bain, BCG), high-growth startups, venture capital, or investment banking.
  • Demonstrable fluency with AI tools and workflow automation platforms - you actively build with AI tools in your daily work.
  • Semi-technical: you can read a GitHub PR, understand an API integration, navigate a codebase at a high level, and talk credibly with engineers.
  • Exceptional written and verbal communication - you draft investor updates, customer emails, and internal memos that are clear, concise, and compelling.
  • Extreme ownership mentality - you see a problem and fix it without waiting for permission or direction.
  • Highly organized with an obsessive attention to detail and follow-through.
  • Comfortable with ambiguity - you thrive when the playbook hasn’t been written yet.
  • High emotional intelligence and the ability to navigate complex interpersonal dynamics across teams, customers, and investors.
  • Strong analytical skills - you can build a financial model, analyze a dataset, or structure a strategic argument with equal confidence.
  • Willingness to work at startup intensity: long hours, fast pace, high stakes.

Bonus Skills

  • Experience at an AI-native company or deep personal engagement with AI/ML products.
  • Background in enterprise software, SaaS, or manufacturing technology.
  • Prior Chief of Staff, founder, or early employee experience at a high-growth startup.
  • Recruiting experience - you’ve built teams and know how to spot exceptional talent.
  • Product management or product design experience.

Work Expectations (Read This Carefully)

We are building something unprecedented, and that requires unprecedented commitment. This role demands the intensity and dedication you’d find at other high-commitment organizations. Here is what that means in practice:

  • Long hours. This is not a 9-to-5. Expect 50–60+ hour weeks as standard, with more during critical periods. We move fast and we ship constantly.
  • Wear every hat. In a single day you might prep a board deck, screen three candidates, join a customer demo, debug an internal workflow, and reorganize the founder’s calendar. This is a feature, not a bug.
  • Ownership mentality. Every person at Naologic is expected to be hands-on and contribute directly to the company’s mission. You will not have a team under you on day one - you are the team.
  • This will likely be the hardest job you have ever had. We are not interested in candidates looking for a comfortable role. We want someone who is dead set on dedicating themselves fully to building something that matters.
  • But it will also be the most rewarding - both intellectually and financially. You will work at the frontier of AI and enterprise software, with direct impact on how manufacturing businesses operate worldwide. And the equity upside reflects that.
  • If you thrive on chaos, context-switching, and building systems from scratch - apply. If you need clearly defined boundaries and a predictable schedule, this is not it.

Interview Process

  • Screening: We receive thousands of applications per role and only around 1% will be invited to the next step. We do a thorough and extensive screening before inviting candidates forward.
  • Round 1: Take-home exercise - a real-world operational challenge that tests your ability to structure ambiguity, prioritize ruthlessly, and communicate clearly.
  • Round 2: 90-minute panel interview discussing the exercise in depth with both Co-Founders - covering strategy, operations, culture fit, and AI fluency.
  • Round 3: Compensation, equity, and culture discussion with Co-Founder.
